MeyerPink Law, LLP is Seeking a Highly Organized and Proactive Executive Assistant for Owner!

About the Role:

As Executive Assistant to the owners of the firm, you will play a critical role in ensuring the smooth
operation of the Owners’ practices and the reception area. You will be a trusted confidant, providing high-level administrative, organizational, communication, and reception support.

Responsibilities:

    Receptionist Duties:

    Greet clients and visitors in a professional and friendly manner, whether they are calling or
show up in person. Professionally determine the reason for their visit. Help and direct clients, visitors, and callers to appropriate staff members.

     Receive and address all voicemails and company text messages received.

    Manage the flow of mail and deliveries.

    Scan, copy, process, and distribute client documents

    Calendar Management:

    Manage and maintain an owner’s complex calendar, prioritizing appointments, meetings, travel, and deadlines.

    Schedule and coordinate meetings with clients, team members, and external stakeholders.

    Organize and prepare materials for meetings and presentations.

    Facilitate the Owner’s personal calendar and work calendars.

    Protect the Owner from distractions and help them operate as efficiently as possible.

    Communication and Correspondence:

    Act as the primary point of contact for the Owner via phone, email, text, and in-person interactions.

    Draft and edit correspondence, including emails, letters, and proposals.

    Manage client communication, ensuring a high level of responsiveness and service.

    Document Management:

    Organize and maintain the Owner’s physical and digital filing systems.

    Prepare and edit documents and presentations.

    Coordinate document flow with associates, paralegals, and other support staff.

    Travel and Expense Management:

    Arrange and manage the Owner’s travel, including booking flights, hotels, and ground transportation.

    Process and track travel expenses.

    Additional Tasks:

    Research topics and information as needed.

    Manage projects and delegate tasks to ensure timely completion.

    Maintain a professional and confidential work environment.

Qualifications:

    Minimum 5 years of experience as an executive assistant, preferably in a financial services, or
legal setting.

    Strong organizational, time management, and multitasking skills.

    Excellent written and verbal communication skills, with the ability to draft concise and
professional correspondence.

    High level of comfort with technology. Proficient and efficient performance in Microsoft
Office Suite (Word, and Outlook) and other software is required.

    Ability to work independently and take initiative.

    Discreet and professional demeanor, with a commitment to confidentiality.

    Ability to thrive in a fast-paced and demanding environment.

    Experience with reception duties and client interaction is highly desirable.
